In preparation for Tuesday's lessons learned meeting, here are some notes on the projects I took care of for the convention. 1. Auction baskets For the most part, the process went well, in terms of the auctions runing and people being able to place bids. the largest problem we had was that the methodology we used for pre-registering users for the auction site didn't work at all well this time. Last year, I asked Tiffany to give me a couple of TSV dumps which I pre-loaded into the auction site. This year, I asked her to send me the e-mails when they came in from the system. This she did, and I processed all the e-mails I received, but there were a number of messages I didn't receive. I'm not sure why, since normally, e-mail is pretty reliable. My suggestion for next year is to try a hybrid approach. I'll set up a mechanical e-mail recipient, as opposed to mixing the e-mail with my regular e-mail, and also learn how to fetch reports from Formstack so I can do periodic dumps of the data to verify things worked. I think this hybrid approach will work better and will resolve most of the issues with folks not being able to place bids. The dumps worked pretty well last year and we didn't have as much trouble with folks not being able to place bids. Alternatively, if I can figure out how to mechanically fetch reports from Formstack, I'll set up a daily run to fetch data once per day, or twice a day, to make sure things are up to date on the auction site. 2. Door prizes As far as I can tell, this process went off without a hitch. Although, we didn't receive that many door prizes. I was also a bit disappointed that we gave so many gift cards, but that wasn't a problem with the door prize donation mechanism itself. Perhaps, since I had a inimum amount of involvement with this, tiffany can address the effectiveness or efficiency of the process. 3. Help desk phones I set the schedule up and heard nothing. It is important that we get contact information (name, address, email, phone) before people bid, so we can efficiently send out baskets Accounts are a good way to collect this information. This is why one needs an account before they can bid. We leverage the information we get from registrants to automatically create accounts. There is a unmet expectation that everyone who registers will have an account. gaps between when someone registers and when the account gets created is causing a lot of confusion. Manual registration should be easy and work reliably. Automate account harvesting from formstack can assist with smaller gaps between registration and account creation. Chapters should upload their own basket, eliminating an intermediary. More opportunities for live actions. Hard to do with limited time Separate out live and online auctions either by basket value or at random. Our auction Proceeds this year exceeded by many times last year. 2. Door prizes and phone system both went very well. We should have a help number in future years. 3. Late agenda caused many problems. Consensus that a bare bones agenda early is better than nothing. High membership demand Really difficult for logistics committee This is less about knowing who will give a particular presentation or panel and more about managing changes to timings and structure of the agenda. Examples from 2021 include... Board meeting got changed Spanish got added Deaf blind and D & I got changed Breakout sessions were not settled. Tim correctly points out that agendas change at the last minute. Having them online just means we can more easily correct the agendas. 4. We need more people to help out. 5. We should have more members presenting at convention. 6. We should start earlier on Sunday morning. Strong consensus that we should start with voting and resolutions, followed by presidential report, treasurers report, etc. The chair, writer of these notes, is not in agreement :) 7. Voting on resolutions, motions, and nominations takes too long. * 2 minutes for vote casting is too long * Take temperature of the room by first asking for no votes on a resolution. * No more authors speaking on their resolutions on Sunday morning. 8. Cheryl is not receiving enough information about vendor payments. Need to work on this. 9. If we do a hybrid next year, we need more people. We will need people with specific skills... * People who can do wordpress * People who can do Zoom * People who enjoy working with rookies for Rookie Roundup etc. The chair needs to be very clear that members should be recruiting people to help members with their part of planning. The chair also needs to make lots of space to welcome members letting the chair know that have taken on too much. 10. My name is Miguel Venegas. My family and I had the honor of meeting your wife at my first National convention earlier this year during a family game night session. She was very kind to all of us. I just wanted to share a concern with you in regards to state convention voting. So, I'm pretty sure that I am not the only NFB member that attends a church service Sunday mornings. The voting session was held Sunday between 9:30 am and 12:30 pm. I missed most of the session. I was able to jump in for a little bit before my church service started and I was able to catch the final resolution at the end of the session. There were 5 resolutions, had there been 4, I would have missed them all. I am a licensed and credentialed minister (Reverend) and I am a current member of a church, but if I were pastoring a church I would have most definitely missed the Sunday morning session. Furthermore, I noticed in the afternoon session on Saturday that there were 100 plus individuals in the session. Sunday morning there were around 70. >From what I was able to participate in, there was some significant elections and resolutions to vote on. I wanted to know if something could be done to move the time. My suggestion would be 1:30 pm, which means it would finish around 4:30 pm. This would also allow people to grab lunch prior to the session. I noticed that people were getting ancy and just wanted the meeting to end. I know if it is in person next year it may be different, but even then people should be allowed to attend a church service if voting is held on a Sunday. Please let me know how we can change the time and / or the process is to move the time.
