I do have some updates, though, and I will hopefully have more updates soon. 1. Christina and I met about the talent show, and we are hoping that it can start at 7 PM instead of 8 PM, which would conflict with the breakout sessions. If this is OK with everyone, we would like to move forward with that time, as 8 PM is a bit too late to start. If that time is agreeable, we can create the form and a zoom link, and we will set it up so that once people pay for their ticket, they will automatically be sent a zoom link. We will charge $5 to watch the showcase, and $10 to participate. We will probably need to create two separate forms, and I am going to model the participation form after the one from last year, with a few changes. I will create the questions after I get back from my trip so that we can hopefully have it out soon. 2. I am going to paste a response from Beth Braun regarding our questions about captioning. I have asked how someone filling in for the captioner can caption on the website, as well as the zoom platform, as it is not answered in this response. ?Usually our captioners didn?t have anything scheduled immediately after their session, so if they ran over, they just kept going. Except, captioners need a break every two to two-and-a-half hours. So we scheduled that in - and if something was scheduled for less than that and then ran over, the staff Zoom host was responsible to communicate with the point of contact and tell them they needed to break for the captioner. Also for all general sessions, we had the captioners? manager serving as back up. She filled in for breaks and covered when they (inevitably) ran over.? 3. Apparently, YouTube streaming is possible through the zoom platform when hosting webinars. I will need to reach out to Stephanie for more information, but I will try it on my own account to see how that works in case we decide we might want to stream part of the convention live. As for posting our recordings on YouTube, I still need to look further into that to see if there is any limitation on space. I will do that after I get back. 4. Tiffany and I will be starting zoom trainings on August 19 at 7 PM. We will have them every Thursday through the end of September, and we will probably have them on some Tuesday evenings as well. 5. I would like to suggest that we give first timers mentors for the Convention. I am thinking that we could have a committee who reaches out to first time convention attendees, and we can ask them if they would like a mentor. If they would, we can find out some basic information about them, similar to how national did it this year, and we can pair them up with interested members who might have similar interests. I am willing to organize this. This is my thought on how to make first time convention attendees feel welcome. 6. Janette is planning to use the same amount of time as last year for the parents division. I think that is all I have as far as updates. I will continue working on my specific projects, and feel free to assign me more projects tomorrow. Last year, I believe there was only one time when we had back to back sessions for the same captioner, and that was because everything was more last minute. I am still working on the answer to the question of how to continue the streaming if one of our people is captioning. The suite will be provided via Zoom and will be open during specified time periods each day of the convention. I will once again serve as the scheduling coordinator for managing the Zoom room. I am organizing teams to act as hosts during each Hospitality Zoom session. Each host team will consist of 2 members including 1 Zoom Room Host and 1 Greeter. Both hosts and greeters must be knowledgeable about the convention agenda and be aware of the various programs and services provided by NFB as well as the various local divisions, chapters and projects. Helping with the Hospitality Suite can be a lot of fun. It give hosts, greeters, and attendees a chance to meet new people and network. If you think you would enjoy this opportunity, please read the specific descriptions of the qualifications and duties for host and Greeters below. Zoom Room Hosts In addition to the duties listed for greeters, hosts will be expected to be able to perform the following tasks during the Zoom sessions. . admit attendees to the Hospitality Suite Meeting . Mute and unmute participants as appropriate. . Remove participants from the meeting when necessary. . Open break out rooms. . Assign attendees to break out rooms. . All hosts must be able to access Zoom via a computer. Greeters: The role of the greeter is to make sure all attendees feel welcome and comfortable. Both hosts and greeters must be knowledgeable about the convention agenda and be aware of the various programs and services provided by NFB as well as the various local divisions, chapters and projects. Greeters will be expected to do the following. . Welcome each attendee to the Hospitality Suite upon admittance to the Zoom Room. . Clearly and concisely answer attendee questions regarding the convention or the NFB California Affiliate Divisions or chapters. . Direct attendees to other NFB leaders to answer questions if the greeter is unable to provide requested information. . Become acquainted with attendees' interests and connect them with other appropriate resources and information. . Include each attendee in conversation and discussions. Each team will be assigned a 2- hour time slot during which they will tend the zoom Room. Last year's Hospitality Suite was a great success, and I'm looking forward to the opportunity to meet many new friends as well as reconnect with many old ones.
